How to submit your manuscript to the EMHJ

EMHJ has introduced a web-based submission and peer review system (Editorial Manager, developed by Aries Systems and used by over 3000 journals) with the aim of streamlining the workflow of EMHJ and providing an easy, user-friendly mechanism for authors to submit and track their manuscripts and reviewers to deliver their review comments. Peer review will continue to be double-blinded.

We are now inviting all authors who want to submit a paper to EMHJ to do so via www.editorialmanager.com/emhj/. The web site is where authors deposit their manuscripts and editors go to read them and record their decisions. Reviewers’ details are also held on the system, and when asked to review a paper, reviewers will be invited to access the site to see the relevant paper. The system is secure, protected by passwords, so that authors see only their own papers and reviewers see only those they are meant to. The system offers several benefits for authors. It provides all our guidance forms and allows authors to suggest reviewers for their paper. Authors get an immediate acknowledgement that their submission has been received, and they can watch the progress of their manuscript. The record of their submission, including editors’ and reviewers’ reports, remains on the system for future reference.

Registering

To use the system, you must first register – to do this, please follow the instructions below:

Please go to Editorial Manager and click on “Register now”.

You will be prompted to enter your name and email address to see if an account already exists for you.

On the next page (Registration page), enter your information in the required fields, marked with an asterisk (*).

Click on “Continue” at the bottom of the page.

You will be asked to confirm the important information; click “Continue” to confirm.

An email will be sent to you asking you to verify your registration. Simply click on the URL supplied in the message.

NOTE

All the authors/co-authors submitting a paper are requested to sign a statement granting exclusive Licence for Publication (not copyright) to the World Health Organization (WHO). A copy of the statement is available at: www.emro.who.int/images/stories/emhj/emhj_licence.pdf. You will be asked to attach the licence signed by all the authors granting this permission when you upload your paper. You will not be able to submit your paper without the licence.

Authors are responsible for obtaining permission to reproduce in their articles any material enjoying copyright protection.

Submitting an article

To submit your article:

Please go to Editorial Manager and log in using your email address and password. Then click “author login”.

You will be taken to the “Author main menu”. Click on “Submit New Manuscript”.

Select “article type” from the drop-down menu. Click “Next”.

Fill in the Manuscript title. Click “Next”.

For French papers, enter the French title under “Full title” and the English title under “Secondary Full Title”. Click “Next”.

For Arabic papers, enter the Arabic title under “Full title” and the English title under “Secondary Full Title”. Click “Next

Add co-authors by clicking “Add author” for each co-author and enter the information in the required fields, marked with an asterisk (*). When you have added all co-authors, click “Next”.

Insert the manuscript abstract (this can be copied and pasted from a word processing program). Click “Next”.

For French papers, insert the French abstract under “Abstract” and the English abstract under “Enter Secondary Abstract”. Click “Next”.

For Arabic papers, enter the Arabic abstract under “Abstract” and the English abstract under “Enter Secondary Abstract”. Click “Next

Click on “Enter Keywords” and type in suitable keywords (up to 5) (although this is not compulsory information). Click “Next”.

Click on “Select classifications” to identify your manuscript's areas of interest and specialization. Select one or more classifications from the list by ticking the box on the left-hand side. Click in “Add” Click “Submit” at the bottom of the page when you are done. This will list the classifications you have selected. Click on “Next”.
How to submit a manuscript 

Click on “Additional information”. Complete all of the necessary fields, including “Author contributions”, “Funding” and “Competing interests”. Then click “Next”. Please note, these are compulsory fields and you will not be able to submit the manuscript if this information is not provided.

Click on “Enter comments” to include a cover letter or any comments you would like to send to the Editorial Office. (although this is not compulsory). Click “Next”

Suggest reviewers (this is not compulsory): If you wish, suggest potential reviewers for your paper (up to 4 names), enter the required information for them marked with an asterisk (*). Click “Add Reviewer”. You may then add another, up to 4. When all are added, click “Next”.

Oppose reviewers (this is not compulsory): If you wish identify anyone who you would prefer not to review your paper (up to 4 names), enter the required information for them marked with an asterisk (*). Click “Add Reviewer”. You may then add another, up to 4. When all are added, click “Next”.

Click on “Select the region of origin” to select the region related to your paper. Choose from the drop-down menu and then click “Next”.

Click on “Attach files” to upload your file(s), including the signed Licence for Publication.

Please upload your manuscript in Word and not as a pdf. Once all files are uploaded, click “Next”.

If you wish, you may re-order the files. Then click “Next”.

You will see a summary of the files attached. If correct, click “Build pdf for my approval”.

Once the conversion of your manuscript is completed, on the next page click on “Submissions Waiting for Author’s Approval”.

In the “Actions” column, click “View Submission”. This will display the pdf.

If correct, click “Approve Submission” under the “Actions” column. You will also receive an email asking you to proof and approve the conversion. If you have already done this online, you do not need to return to view and approve the submission.

If you need to make changes, click “Edit submission”.

Your article will not be considered submitted until you have completed the approval.

You can track the manuscript progress by going to “Author Main Menu”.
